Refund & Cancellation Policy

Healthier Her Women & Teen Clinic, PLLC (“Healthier Her,” “we,” “our,” or “us”) is committed to transparency regarding appointment scheduling, cancellations, and payments. This Refund & Cancellation Policy explains when refunds are available and outlines patient responsibilities.

General Refund Policy

Due to the nature of medical and clinical services:

  • Medical and clinical services are non-refundable once rendered

  • This includes telehealth visits, in-person visits, consultations, evaluations, and provider time

  • Charges apply regardless of outcome, diagnosis, or treatment plan

By booking services with Healthier Her, you acknowledge and agree to this policy.

Appointment Cancellations & Rescheduling

Patients must cancel or reschedule appointments at least 24 hours in advance of the scheduled appointment time.

Late Cancellations & No-Shows

  • Appointments canceled with less than 24 hours’ notice may result in a cancellation or no-show fee

  • Failure to attend a scheduled appointment without notice may also result in a fee

  • Repeated no-shows may impact future booking eligibility

Cancellation and rescheduling requests must be made through the designated booking system or by contacting support.

Refunds for Prepaid Services

  • Payments made for future appointments may be refunded only if the appointment is canceled within the required cancellation window

  • Any refunds issued are processed back to the original payment method

  • Refund processing times may vary depending on the payment processor

Laboratory Fees

Some Healthier Her services include laboratory testing, while others may require additional or optional labs.

Please note:

  • Labs included in a visit are part of the service fee

  • Any additional or optional labs are reviewed with the patient prior to ordering

  • Fees charged by third-party laboratories are non-refundable

  • Lab billing, processing, and refund policies are governed by the laboratory provider, not Healthier Her

Payment Disputes & Chargebacks

If you have a billing concern or believe a charge was made in error, please contact us before initiating a chargeback.

Unauthorized chargebacks may:

  • Delay resolution

  • Result in account restrictions

  • Be disputed with documentation of services rendered

Currency

All services are billed and processed in U.S. Dollars (USD).

Service Delivery Clarification

Healthier Her delivers services through:

  • Secure, HIPAA-compliant telehealth platforms

  • In-person visits when applicable and permitted

  • Secure patient portals or encrypted email for forms, results, and care instructions

No physical products are shipped directly by the clinic.

Healthier Her reserves the right to update this Refund & Cancellation Policy at any time. Updates will be posted on this page with a revised effective date.

Continued use of services indicates acceptance of the updated policy.
